- How do I book the Village Hall?
We’ve made booking the Hall simple with our online booking system, which shows a live calendar so you can easily find a date and time that works for you.
Once you’ve selected your preferred date and time, the system will calculate the cost and allow you to pay online. Your booking is secured as soon as the payment is complete.

- Can I view the Hall before making my booking?
Yes, absolutely! We’d be happy to show you around the Hall before you book. Just get in touch with us to arrange a convenient time to visit.
- How do I access the building on the day of my booking?
For one-off hirers, our staff will meet you on-site to unlock the Village Hall and return at the agreed finish time to lock up.
Regular hirers will be provided with a code to access the key safe located near the main entrance of the hall.
- What if I need or want to cancel?
Our cancellation policy is set out in our Terms and Conditions. The key points are:
For one-off hirers:
Cancelling more than 28 days before the event – a full refund will be given.
Cancelling between 28 and 14 days before the event – the security deposit will be forfeited.
Cancelling less than 14 days before the event – the full hire charge will be forfeited.For regular hirers (block bookings):
At least 14 days’ notice is required for breaks or unwanted periods (e.g. holidays) to receive a full refund. However more notice is always appreciated :)
Less than 14 days’ notice – no refund will be given, whether or not the booking goes ahead.- What time do evening events need to finish?
Evening events must finish by midnight (Monday to Saturday) and by 11:00 pm on Sundays when the Hall closes. If alcohol is being served, drinking must stop 30 minutes before closing—that’s 11:30 pm during the week and 10:30 pm on Sundays.
We’re in a residential area, so please be kind to our neighbours and keep noise to a minimum when leaving.
- Do I have to clean up after my event?
Yes, this is essential. Stanton under Bardon Village Hall operates on a ‘leave it as you found it’ basis, so we ask all hirers to help us keep the Hall in great condition.
We expect you to:
- Wipe all surfaces and spot-clean any spills
- Sweep up any debris
- Ensure toilets are flushed and free of litter or mess
- Return tables and chairs to their storage areas, stacked no more than five high
- Check the car park for any rubbish left by your attendees, such as plastic cups or balloons
We provide two bin bags and will dispose of these for you. Any additional rubbish must be taken home and disposed of responsibly. If extra bags are left behind, £5 per bag will be deducted from your security deposit.
All hirers are required to leave the Hall clean, tidy, and in the same condition as they found it.
- What security deposit will I have to pay?
There are two tiers of security deposit that will be added to your invoice during the booking process:
£50 for events with no alcohol or with alcohol that finish before 6pm
£250 for events after 6pm with alcoholAfter your hire session, our staff will inspect the building and grounds to ensure everything is clean, tidy, and undamaged. If everything is in order, your deposit will be refunded within 48 hours using the original payment method. Minor issues, such as a broken teacup, won't affect your deposit, but there have been occasions where significant damage required repair.
In cases of substantial damage, we will assess the situation and may need to obtain repair quotes. If the costs exceed your deposit, we will invoice you for the additional amount. For incidents we believe involve criminal damage, we will not hesitate to contact the police. Please remember that the lead hirer is responsible for the behavior of all attendees.

- Do you allow Bouncy Castles at the Village Hall?
Yes, of course! You’re very welcome to hire a bouncy castle from a local provider and have it in the main hall as part of your event. There’s a small extra charge of £20 per booking, which just needs to be added when you make your reservation—this helps us cover wear and tear, insurance, and electricity.
Just a couple of simple rules to keep everyone safe:
- Only one bouncy castle is allowed
- It can’t be taller than 10 ft 6 in
- Please place it in the centre of the hall so it doesn’t catch the sloping ceilings and make sure it doesn’t block any fire exits.
- Finally, do check that your supplier has the right insurance in place to cover any damage or injuries.
- What happens in the event of a fire or someone needing first aid?
If there’s a fire, the manual alarms around the Hall will sound. Please use the front entrance or the two emergency exits in the Main Hall to leave the building and go to the assembly point in the rear car park. Fire extinguishers are available throughout the building, and a fire blanket is in the kitchen next to the fridge freezer.
If someone requires first aid, a first aid kit is on display in the kitchen, along with guidance on treating common injuries. Please fill in the accident book and notify the Parish Clerk, and let them know if any items from the kit are used as soon as possible.
There is also a defibrillator outside the front entrance, which can be accessed by the ambulance service by dialing 999 and following their instructions.
- What equipment and supplies are available in the kitchen?
Our kitchen comes fully equipped with a fridge freezer, microwave, electric hob and oven, dishwasher, kettle, and hot water dispenser.
In the cupboards you will also find a variety of glasses, crockery, and cutlery available for your use. Please note that for health and safety reasons, kitchen knives are not provided.
We supply tea towels, washing-up liquid, and dishwasher tablets for your convenience.
There’s also a general cleaning cupboard with various supplies to help you tidy up spills and leave the kitchen—and the Hall—clean and tidy.
- Is there a baby change unit?
Yes, there is fold down baby changing unit in the disable bathroom located near to the main entrance of the hall.
- Are dogs allowed inside the hall?
No animals are allowed in the Village Hall, except for guide dogs, unless prior permission has been granted by the Hall Management.
Please note that animals are never permitted in the kitchen under any circumstances.
- Can I bring alcohol to my event?
If you plan to have alcohol at your event, please provide full details during the booking process. This helps us ensure compliance with our premises licence and apply the correct security deposit.
If you intend to sell alcohol, you’ll need to apply for a Temporary Events Notice (TEN) and follow all licensing rules. If you’re unsure, contact the Bookings Officer for guidance.
Important rules to remember:
- Alcohol must stay inside the building and cannot be consumed after 11:30 pm (Monday–Saturday) or 10:30 pm (Sunday).
- Alcohol cannot be given to anyone under 18 or sold to anyone intoxicated.
- Free tap water is always available for anyone who needs it.
- Following these rules is not just important—it’s essential to ensure a safe and enjoyable event for everyone at the Hall.
- I've left something behind what do I do?
Don't worry - we'll try and put this aside for you to collect.

- I'm a regular hirer - Do I need insurance for my sessions?
If you’re running sessions at the Hall then you are responsible for everyone’s safety. Public liability insurance is required and your professional body can usually give advice.
Just email proof of your insurance to clerk@stantonunderbardonparishcouncil.gov.uk and you’re all set.
- I am a regular hirer - Is there any storage available?
There may be options to store equipment—please email clerk@stantonunderbardonparishcouncil.gov.uk for details.
- Does regular hire need to be weekly?
No—a regular hirer is any group or individual with 4 or more pre-booked sessions in a year. These sessions can be daily, weekly, fortnightly, or monthly.

- How many parking spaces do you have?
We have 23 car parking spaces in our private on-site car park that are exclusively available for our hirers to use.
